British Rowing requests proposals for website services

A supplier is sought for technical management and development of Wordpress websites

Background

British Rowing is the national governing body for the sport of rowing (both indoor rowing and rowing on water). We are committed to ensuring that the sport continues to thrive from the grassroots right up to winning medals at the Olympic and Paralympic Games.

We are responsible for participation and the development of rowing and indoor rowing in England and for the training and selection of individual rowers and crews representing Great Britain internationally.

We have over 30,000 members and over 100 staff.

Scope

We run a number of public-facing online systems. The scope of this tender is limited to the following websites:

These are hosted WordPress, and are hosted externally.

Suppliers may be asked to support additional, new websites in future, but should note that the scope of this tender does not include any other current web assets at this time.

We seek a single supplier to deliver two separate workstreams on an ongoing basis:

  1. Technical management
  2. Web development

Details of what these workstreams involve are set out below. Potential suppliers are invited to tender for one or both of these.

Suppliers will be accountable to the Head of Technology and the Head of Digital and Marketing.

Workstream 1: Technical management

This work package includes but is not limited to the following services:

  • Managing backups
  • Managing log files
  • Providing 24/7 support should any website ‘go down’ or experience status issues.
  • Setup and management of test/staging servers for web development work (Workstream 2).

Workstream 2: Web development

These websites use WordPress as their CMS. British Rowing staff manage content creation and formatting within WordPress.

This work package includes but is not limited to the following services:

  • Maintenance and periodic updating of website infrastructure such as php, WordPress and plugins versions.
  • Front end design and development e.g. home page redesign (with a ‘mobile first’ approach), custom post templates, menu styling, injection of Google Ads etc.
  • Back end development e.g. integration with other British Rowing systems such as our competitionentries  system (BROE2) and membership, club and training event management system (ClubHub) etc.
  • Consultancy on best practice solutions for future web-based projects.

We do not require SEO services at this time. It is possible that there may be a logo-related redesign in the next 9-12 months.

Nature of contract

For Workstream 2, we welcome creative contractual options. These might include, but would not be limited to hourly rate and minimum hours per month with roll over.

  • Examples of similar work you have done for named clients
  • Your approach to account management
  • Pricing.

The deadline for submissions is 5pm on Friday, 31 May 2024.

Shortlisted suppliers will be invited to discuss their proposal and so that we can get to know you better.

Selection criteria

In addition to capability, potential suppliers will be shortlisted and selected based on but not limited to the following criteria:

  • Demonstrable relevant experience for the organisation and key personnel
  • Account management solutions (e.g. prioritised ticketing systems)
  • Resource availability levels
  • Continuity of resource availability
  • Prices and contract terms.
