Entries Secretary – Veteran Fours Head

The Veteran Fours Head organising committee are seeking an Entries Secretary to help manage race entries and support the smooth running of this annual Tideway event. You’ll coordinate with the Organising Committee, oversee BROE setup and monitoring, and keep clubs informed as entries progress. This role is central to producing the start order, finalising racing crews, and ensuring accurate results submission.

The Veteran Fours Head is run annually on the Tideway. The Organising Committee are all volunteers and more information about the event can be found from https://www.vetfourshead.com/

The Veteran Fours Head is held on the same weekend each year as the Fours Head. Normally the Veteran event is held on the Sunday unless tides dictate that the Fours Head want the Sunday date.

Key Responsibilities
  • Communication with other members of the Organising Committee
  • Agree entry fee, categories, race capacity, opening & closing of entry dates with Organising Committee
  • Set up information, host clubs and categories on BROE (mostly repopulating from last year) and confirm with BR
  • Communication with Social Media volunteer about opening of entries
  • Monitor state of entries, accept completed entries, update Social media volunteer
  • Optional: create and update entries spreadsheet
  • Answer e-mail queries
  • Close BROE for entries when reached capacity or closing date announcement
  • Contact entries in small categories and ask what they would like to do
  • Finalise racing crews
  • Draft start order for approval by Chief Marshal and Race Committee Chair
  • Share information with Website lead and Social media lead for announcing the start order
  • Manage substitutions and time-only crews, including notifying timing team of time only crews and numbers for change of host club
  • Run off crew contact details spreadsheet from BROE for the volunteer responsible for medals
  • Finalise event on BROE and submit results via BROE within five days of the race

Some experience with BROE would be helpful and being comfortable with downloading reports from the BROE system eg to help create the start order.

Previous Entries Secretaries have raced while doing their role, so if you’re interested but still want to race it is possible to  do both.
